Peartree would like to thank everyone who attended our seminars and visited our booth at the 2006 RV Dealers International Convention/Expo in Las Vegas and the 44th Annual National RV Trade Show in Louisville, KY.  It was great to see so many familiar faces at both of these events. Exercise Caution with Microsoft Software Upgrades

Sometimes your computer will prompt you to make upgrades.  Do not just automatically update everything that the computer suggests as the new update may interfere with the software you are currently running.  Before you make any updates, please contact Peartree Support at 519-743-2444 ext.4 to make sure it is compatible.

One particular update that you should NOT install is the upgrade of Internet Explorer 6.0 to Internet Explorer 7.0 At this time, Internet Explorer 7.0 interferes with our version of the web development tool that supports Dealership.  If you have already installed I.E. 7.0, please uninstall it and reinstall I.E. 6.0.

How to Perform a Physical Inventory

A Physical Inventory is the act of physically counting the individual items in stock at a particular date and time at your place of business.  It is typically performed prior to a company’s year end. Here are the steps:

1. Print the Count Sheets.

  •  From the top menu bar, select [Inventory], [Parts], [Inventory Control], [Reports/Forms], and then click [Count Sheets]. 

  •  You can print all of the parts or limit by Location, Class or Primary Supplier.

2. Physically freeze your inventory.  This means no sales of any kind can be performed during the physical inventory process.

3. Manually enter the counts on the count sheets you printed.

4. Enter your counts in the system.

  •  From the top menu bar, select [Inventory], [Parts], [Inventory Ctrl], and then click [Inventory Count Update].

  • Enter the Product Number, the On Hand quantity, and the new Location, if applicable.

NOTE: You must update the On Hand quantity for every part, regardless of whether the quantity has changed or not.  If you do not update the quantity and the new on hand quantity field is left blank, it WILL be reset to 0.

5. Print Product Listing report for valuations (Optional).

  • From the top menu bar, select [Inventory], [Parts], [Reports], [Listings], and then click [Standard Products].

  • This report will give you a valuation prior to the physical inventory to compare to the report after the physical inventory.

6.  Print the Counts Entered report.

  •  From the top menu, select [Inventory], [Parts], [Inventory Ctrl], [Reports/Forms], [Counts Entered].

  • This report can be used to compare what was entered on the count sheets to what was actually entered into the system.  It can be kept as backup information.

NOTE: You can also reprint the Count Sheets.  The Count Sheets will show the amounts entered into the system for all parts.  You will be able to determine if any errors were made when you entered the counts.

7.  Post Inventory Counts.

  • From the top menu, select [Inventory], [parts], [Inventory Ctrl], and then click [Post Inventory Count].

  • Press Update to update all on hand quantities.

8.  Print Product Listing report (Optional).

  • From the top menu bar, select [Inventory], [Parts], [Reports], [Listings], and then click [Standard Products].

  • This report will give you valuations AFTER the physical inventory.

9.  Unfreeze inventory and begin carrying on business as usual.  Your physical inventory is now complete.    

Adding a Special Greeting to Your Receipts

Do you want to add a special greeting to your receipts to celebrate the holidays or announce sales?  It's easy to change your greeting whenever you would like. Here's how:

  • From the top menu bar, select [Sales], then [Parts], then [Administration], then [Receipts], then click [Trailer Update]. The Receipt Comments Update screen will open.

  • To Print Comments on the receipt, select Yes from the drop-down list.

  • Erase the current comments and type the new comments.

  • Press Submit to save your changes.
